What is Google Apps?

Google Apps is a cost effective service provided by Google that allows you or your company to have what effectively is a server on the internet. All your emails, documents, calendars and a host of communication tools are run and maintained by Google so all you have to do is use your favourite web browser on your PC, MAC, Linux or mobile device to access and use it.

If you already have a propriety system in house you will see potential savings of around 20 -30% as well as the non tangible savings in the additional functionality you will get at your fingertips. You will also be helping reduce your carbon foot print by the equivalent to 1 ton of CO2 every year.

How does it work?

Google Apps can be a completely web based experience or as a hybrid solution. With a web based solution you only need a web browser to login to your individual account and carry out all your daily activities from there.

The hybrid solutions lets you use Google Apps for any part of the suite of application available as well as your own client software. For example a common use of Google Apps is to let Google Apps be the mail server but use Outlook or another email client on the users desktop machine.

Who looks after it?

Because you do not need a highly skilled IT person Google Apps is easily mantained by someone with basic IT skills for day to day tasks, such as creating new users, groups, calendars and configuring new applications, such as chat, video even google+

After the initial setup process, it's just a metter of introducing a user to the administration of the accounts which usually would take no more than 90 minutes.

How much will it cost?

Between £2.75 - £3.00 per user per month depending on the contract you take out with Google.

For Sole traders we have a single set fee of £300 which includes setting up Google Apps for your domain, if you do not have one registering a .co.uk domain for you, 1 years subscrition to Google Apps, configuring a desktop client and/or Laptop client and synching with one mobile device.

How long will it take ?

Once you agree to move over to Google Apps for 10 users you can expect the process to take approxiamatel 4 weeks. This would include moving your mail over to Google Apps, configuring your Desktops, if you decide to take that route, settings up shared Calendars and implementing a basic CRM system.

If however you are a single user or you are just setting up for the first time and there is no data migration involved and you decide that the web browser option is your choice, then potentially the move to Google Apps could be done in 48 Hours.

We would normally also implement on online backup solution if you decide to go for the hybrid option, again a core cost of £10/month for 100GB of data plus a small fee to configure the backup software on your computers.
